API 1169 study: write a clear daily inspection report
A useful daily-report exercise asks more than whether a sentence sounds confident. Can another reader tell what the writer observed, what someone else reported and what remains unknown? Practice that distinction before turning a short set of notes into a conclusion.

API’s December 2026–August 2027 API 1169 Body of Knowledge includes quality records, documentation and written or electronic reporting. Clear writing is a useful study skill alongside learning the construction topics.
The exercise below is an original learning activity. It is not an official API examination question or a field-report template. Its purpose is to make the evidence behind each sentence visible.
Sort three notes before writing the report
Imagine a fictional study packet contains the three entries below. Work only with those entries: no inspection results, drawing approvals or additional conversations have been supplied.

Rewrite the conclusion that exceeds the notes
Weak draft: “The new alignment was approved and the work was correct.” Before reading the rewrite, identify which words require evidence that the packet does not contain.
Improved draft: “At 09:15 in Area B, I observed the crew installing marker stakes. At 10:05, the site coordinator stated that an alignment revision had been requested. The exercise document log records that the revised drawing had not been received by 11:00. Approval and the relationship of the stakes to a revised drawing are not established by the supplied notes.”
“Requested” does not establish “approved.” The note about stakes describes an activity; it does not establish whether their positions match an approved drawing. A missing attachment leaves a question open. It does not, by itself, prove what another person authorized or what exists outside this packet.
Show what still needs confirmation
Add a short follow-up note to the exercise. Ask what evidence would resolve the specific uncertainty rather than writing “all sorted” or guessing how the day ended.
For this packet, the unanswered question is whether a revision was approved and how it relates to the observed activity. If a later exercise supplies a response, identify its source and explain exactly what it resolves. Leave any remaining question visible.

- Source: Which observation, communication or document raised the question?
- Evidence needed: Which missing record or clarification would help answer it?
- Current status: What does the packet establish now, and what remains unresolved?
Read your draft as the next learner
Hide the original notes and read your draft again. Can you reconstruct the sequence without guessing who said something? Have you added an approval, measurement, result or action that was never supplied? Return to the packet and remove those additions.
The finished exercise should distinguish observation, attributed communication and unresolved follow-up. It does not establish construction compliance, prescribe an inspection method or authorize work to proceed. Actual project reporting follows the applicable procedures, forms and assigned responsibilities.
